1. Not tax advice

LandlordTaxAi is a software tool that assists with Making Tax Digital compliance for UK property landlords. It does not constitute tax advice, accounting advice, or any form of professional financial guidance.

You should consult a qualified accountant or tax adviser for complex tax situations, unusual transactions, or if you are unsure about the correct treatment of any income or expense.

2. User responsibility

You are legally responsible for the accuracy of all data submitted to HMRC through this software. This includes:

  • The correctness of income and expense figures in your quarterly returns
  • The appropriate categorisation of transactions against HMRC SA105 rules
  • Reviewing AI-generated categorisations before approving submission
  • Ensuring all property income is declared as required by law

LandlordTaxAi provides tools to help you categorise and submit, but final responsibility for your tax returns rests solely with you.

3. AI categorisation

Transactions are categorised using artificial intelligence against HMRC SA105 rules and official guidance. Our AI system:

  • Assigns each transaction a confidence score (0-100%)
  • Flags low-confidence categorisations for your manual review
  • Aligns with current HMRC legislation, case law, and published guidance
  • Uses only reliable source data (your uploaded bank statements)

AI categorisations should always be reviewed by you before submission to HMRC. When uncertain, we default to non-deductible to protect you.

4. Subscriptions and payment

Subscriptions are billed monthly via Stripe. Key terms:

  • You can cancel your subscription at any time from the Settings page
  • Cancellation takes effect at the end of the current billing period
  • Refunds are handled on a case-by-case basis
  • Prices may change with a minimum of 30 days written notice via email
  • Your data remains accessible for export for 30 days after cancellation

5. HMRC submissions

Quarterly submissions to HMRC are made only when you explicitly click "Approve & Submit to HMRC" and confirm the action. Key points:

  • We never submit data to HMRC without your explicit approval
  • Once submitted, returns cannot be undone through our software
  • To amend a submitted return, you would need to contact HMRC directly or submit a corrective return in the following period
  • We store a record of all submissions for your reference

6. Changes to terms

We may update these terms from time to time to reflect changes in our service, legal requirements, or best practices. When we make material changes:

  • We will notify you via email at least 14 days before changes take effect
  • A summary of changes will be provided
  • Continued use of the service after the effective date constitutes acceptance
  • If you disagree with changes, you may cancel your subscription and export your data

7. Governing law

These terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from these terms or your use of the service shall be subject to the exclusive jurisdiction of the courts of England and Wales.
